Denver Retreat: Event Terms & Conditions

These Terms & Conditions ("T&Cs") supplement the IPNO Terms of Service and govern Participant's registration and participation in Denver Retreat 2026 ("Event"). In the event of any conflict with the IPNO Terms of Service, these Event T&Cs take precedence with respect to the Event.


1. REGISTRATION & PAYMENT

  • Registration is completed exclusively through IPNO. Your spot is not confirmed until full payment is received.

  • The registration fee is non-refundable under all circumstances, including personal schedule conflicts, travel disruptions, medical events, or change of mind.

  • The registration fee covers your reserved spot, retreat merch (collected at registration), the Welcome Mixer (food included), Saturday Lunch, and Sunday Brunch. It does not cover lodging, airfare, local transportation, other meals, or additional activity costs unless explicitly stated otherwise by the organizers.

  • Optional activity add-ons (e.g. horseback riding) are available for an additional per-person fee, as communicated during registration. All add-on fees are separate from the registration fee and are non-refundable. Exact pricing for each add-on will be disclosed prior to purchase.

  • Denver Retreat 2026 is a pay-per-person and pay-per-activity retreat.


2. IPN CANCELLATION POLICY

If IPN cancels Denver Retreat 2026 in its entirety prior to the Event date:

  • Participants will receive a full refund of the registration fee

  • IPN will notify all registered participants via email and the retreat WhatsApp group as promptly as possible

  • IPN is not responsible for any ancillary costs incurred by Participant, including non-refundable flights, hotel bookings, travel insurance, or external add-on activities


If IPN modifies, reschedules, or cancels individual activities or elements of the itinerary:

  • IPN reserves the right to substitute, reschedule, or cancel individual activities without incurring liability

  • Material changes will be communicated to participants as promptly as reasonably possible

  • Modification of individual activities does not entitle Participant to any refund of the registration fee


3. ELIGIBILITY

  • The Event is open to Ismaili professionals aged 23–40 from across North America. Multifaith partners and family members are warmly welcome.

  • Participants must be 18 years of age or older to register independently.

  • IPN reserves the right to decline or revoke registration at its sole discretion if eligibility requirements are not met or if a participant poses a risk to the safety or wellbeing of the community. 

  • IPN reserves the right to remove any participant from any activity or from the Event if organizers reasonably determine that participation presents a safety, conduct, or operational concern.


4. CODE OF CONDUCT

Denver Retreat 2026 is a professional community event rooted in Ismaili values of pluralism, respect, and service. All participants are expected to:

  • Treat all fellow participants, organizers, and vendor staff with respect and dignity at all times

  • Refrain from harassment, discrimination, or inappropriate conduct of any kind; including verbal, physical, or digital

  • Comply with all venue rules, vendor instructions, and organizer directions

  • Participants who consume alcohol do so at their own risk and remain fully responsible for their conduct, decisions, transportation arrangements, and compliance with applicable laws. IPN does not condone excessive alcohol consumption

  • Refrain from engaging in illegal activity of any kind during the Event

  • Conduct themselves in a manner consistent with the values of the Ismaili Professionals Network and the broader Jamat

  • Weapons or dangerous objects of any kind are prohibited at Event activities and venues

IPN reserves the right to remove any participant from the Event without refund for violation of this Code of Conduct. Egregious violations may be reported to appropriate community or legal authorities.

Participant Concerns and Reporting

Participants who experience or observe conduct that may violate these Terms, the Code of Conduct, or applicable law should promptly notify an Event organizer.

IPN reserves the right to investigate concerns and take appropriate action, including warnings, removal from activities, removal from the Event, or referral to institutional or legal authorities where appropriate.

5. ACCOMMODATIONS & TRANSPORTATION

  • Hotel accommodations are the sole responsibility of the Participant. IPN will share a private room block link with confirmed attendees; booking and payment are Participant's responsibility.

  • IPN does not coordinate roommate matching.

  • All airport transfers, rideshares, and local transportation are Participant's responsibility. IPN recommends the A Line train from Denver International Airport (DEN) to Union Station downtown.

  • IPN is not responsible for any transportation delays, cancellations, or incidents.


6. WHATSAPP COMMUNITY RULES

All confirmed attendees will be added to the Denver Retreat 2026 WhatsApp group. By joining, participants agree to:

  • Use the group for Event-related communication only (logistics, updates, and community connection)

  • Refrain from sharing political content, unsolicited promotional material, or content unrelated to the Event

  • Respect the privacy of other group members; do not share others' contact details or messages outside the group without their consent

  • Not add unauthorized third parties to the group

  • Not screenshot or record the group member list, group conversations, or any participant information visible within the group

  • Not share, forward, or republish any content from the group to external platforms, social media, public forums, or third parties

  • Comply with IPN's WhatsApp Community Guidelines as communicated by the organizing team


IPN reserves the right to remove participants from the WhatsApp group for violations of these rules.


7. PARTICIPANT PRIVACY & CONFIDENTIALITY

Attendee information shared in connection with Denver Retreat 2026; including but not limited to names, contact details, employer information, photos, personal backgrounds, and the fact of an individual's attendance, is shared within the Event community for Event purposes only.


Participants are strictly prohibited from:

  • Publishing, posting, or distributing the attendee list or any portion of it on any platform, including but not limited to social media (Instagram, LinkedIn, X/Twitter, Facebook, TikTok), public forums, message boards, or websites such as Reddit

  • Sharing another attendee's personal information (name, phone number, email, employer, location, or likeness) with any person or platform outside the Event community without that attendee's explicit consent

  • Screenshotting or recording any participant directory, registration confirmation, WhatsApp member list, or IPNO profile information and distributing it in any form

  • Using attendee information obtained through the Event for unsolicited outreach, commercial solicitation, or any purpose unrelated to the Event

  • Disclosing sensitive details shared by participants in confidence during Event activities, conversations, or group communications


Violation of this section is considered a serious breach of community trust and may result in immediate removal from the Event, removal from IPN programs and communications, and referral to appropriate community or legal authorities where warranted.


IPN takes the privacy and safety of its community members seriously. If you become aware of a breach of this policy, please notify the IPN organizing team immediately through IPNO.


8. DATA PRIVACY

By registering on IPNO, Participant consents to IPN collecting and using their personal information; including name, contact details, age, shirt size, and payment details for the following purposes:

  • Event administration, logistics, and communication

  • Adding Participant to the retreat WhatsApp group

  • Internal IPN program records and reporting

  • Jamat-level institutional reporting where applicable


IPN will not sell Participant data to third parties. Data may be shared with vendors (e.g. activity operators, venue contacts) only as necessary to operate the Event. Data will be retained as reasonably necessary for event administration, institutional reporting, and audit purposes.

9. THIRD-PARTY ACTIVITIES & VENDORS

Certain Event activities are operated by independent third-party vendors (including but not limited to equine operators, fitness instructors, adventure activity providers, and venue operators). Participant acknowledges that:

  • IPN is not the operator of any third-party activity and is not responsible for the conduct, safety protocols, staffing, equipment, or any incidents arising from participation in those activities

  • Some add-on activities may require Participant to sign a separate waiver or acknowledgement directly with the third-party vendor before participating; failure to do so may result in exclusion from the activity without refund

  • All optional activity add-ons are offered on a pay-per-person basis.

  • Pricing will be disclosed to participants prior to purchase through IPNO or organizer communications. No surprises.

  • Add-on fees are non-refundable and subject to the third-party vendor's own terms, cancellation policies, and refund practices

  • IPN will communicate any specific requirements, age or fitness restrictions, or safety disclosures for each add-on activity prior to the Event


10. DISPUTE RESOLUTION

Any dispute arising out of or relating to these T&Cs or the Event shall first be submitted to good-faith mediation between Participant and IPN. If mediation is unsuccessful, disputes shall be resolved through binding arbitration in the State of Colorado. Each party shall bear its own costs unless otherwise determined by the arbitrator.


11. GOVERNING LAW

These T&Cs shall be governed by the laws of the State of Colorado without regard to conflict of law principles.


12. AMENDMENTS

IPN reserves the right to make reasonable modifications to these T&Cs for operational, safety, legal, or administrative reasons. Material changes will be communicated to registered participants. Continued participation in the Event following notice of amendments constitutes acceptance of the updated terms.
